Terms & Conditions

Please read the Terms & Conditions carefully before booking a service with The Coffee Pot Book Club. By booking a service, submitting materials, entering an award, completing a booking form, or making payment, you agree to the terms outlined below.

What We Do

The Coffee Pot Book Club provides promotional opportunities designed to help authors increase visibility, connect with readers, and grow their audience.

While we strive to deliver high-quality promotional services, we cannot guarantee book sales, reviews, rankings, income, media coverage, award placements, or any specific outcome resulting from a promotion, blog tour, review, social media campaign, or award submission.

Promotional success depends on many factors beyond our control, including market conditions, reader interest, pricing, availability, competition, genre trends, and third-party platforms.

Blog Tours

Blog tours are intended to introduce books to new readers and increase author visibility.

The Coffee Pot Book Club reserves the right to decline any book, author, or tour request if we believe it is unsuitable for our hosts, readership, or promotional platform.

Host participation may occasionally change due to circumstances beyond our control. While every effort will be made to secure suitable replacement hosts, specific host placements cannot be guaranteed.

Participation in a blog tour does not guarantee sales, reviews, reader engagement, or commercial success.

Changes to Scheduled Promotions

While every effort will be made to deliver services as advertised, The Coffee Pot Book Club reserves the right to make reasonable changes to schedules, host placements, posting dates, promotional formats, and service delivery where circumstances require.

Host availability, technical issues, illness, personal emergencies, and other unforeseen circumstances may occasionally necessitate changes to a promotion.

Such changes shall not constitute grounds for a refund, provided that The Coffee Pot Book Club continues to make reasonable efforts to deliver the service purchased.

Editorial Reviews

Editorial reviews reflect the honest opinion of the reviewer and will not be altered to achieve a particular rating or outcome.

The Coffee Pot Book Club does not guarantee positive reviews, star ratings, recommendations, endorsements, awards, or any specific assessment of a book. All reviews are based solely on the reviewer’s genuine opinion of the work.

Authors are welcome to reproduce, quote, share, and use editorial reviews written by The Coffee Pot Book Club for promotional and marketing purposes without seeking additional permission.

The reviewer reserves the right to publish the review on websites, blogs, social media platforms, newsletters, and other promotional channels associated with The Coffee Pot Book Club.

Book of the Year Award 2026 – Submissions

Authors are responsible for ensuring that their book is entered into the most appropriate category or categories.

Books entered into unsuitable categories may be disqualified from those categories at the judges’ discretion.

No refunds will be issued for entries disqualified due to incorrect category selection.

Review copies must be available at the time of entry and remain accessible to judges throughout the judging process.

Prize details are subject to change where circumstances require. Prizes are non-transferable and no cash alternative will be offered.

Once payment has been received, submissions are considered final.

The judges’ decisions are final and no correspondence regarding results will be entered into.

Copyright and Permissions

By submitting a book, manuscript, cover image, excerpt, promotional material, or any other content to The Coffee Pot Book Club, the author confirms that they own the necessary rights or have obtained all required permissions to authorise its use for promotional purposes.

The author accepts full responsibility for ensuring that submitted materials do not infringe the copyright, trademark, intellectual property rights, or legal rights of any third party.

The Coffee Pot Book Club acts solely as a promotional service and accepts no liability for copyright infringement, plagiarism, licensing disputes, ownership disputes, or any other claims arising from materials supplied by an author, publisher, publicist, or representative.

Should any claim arise relating to the ownership or authorised use of submitted materials, responsibility shall remain with the party who supplied the content.

All written content, graphics, promotional copy, interview questions, marketing materials, reviews, and other original content created by The Coffee Pot Book Club remain the intellectual property of Cathie Dunn unless otherwise stated.

The exception to this is editorial reviews, which authors are expressly permitted to reproduce, distribute, quote, and use for promotional and marketing purposes without restriction.

Right to Refuse or Withdraw Services

The Coffee Pot Book Club reserves the right to refuse, cancel, suspend, or withdraw any service at any stage where there is reasonable concern regarding plagiarism, copyright infringement, fraudulent activity, misleading information, unlawful conduct, or any behaviour likely to damage the reputation of The Coffee Pot Book Club, its hosts, reviewers, partners, or associated platforms.

Where a service is withdrawn due to concerns relating to the actions, conduct, or submitted materials of the author, publisher, publicist, or representative, no refund shall be due.

The Coffee Pot Book Club is under no obligation to continue promoting, reviewing, featuring, or hosting content where legitimate concerns arise regarding the ownership, authenticity, legality, or suitability of the material provided.

Fees and Refunds

All payments are non-refundable except where required by applicable French consumer law.

By purchasing a service from The Coffee Pot Book Club, the author agrees that work may commence immediately following payment.

Once work has begun, whether through scheduling, administration, host recruitment, graphic creation, promotional posts, blog features, reviews, social media marketing, or any other promotional activity, no refund will be available for the portion of the service already provided.

If a promotion has already commenced or promotional content has been published, the service shall be deemed to have been partially or fully delivered and no refund will be issued.

Authors are responsible for providing all required materials, including review copies, cover images, author information, excerpts, interview responses, guest posts, and any other content necessary for the successful delivery of a service. Failure to provide requested materials within agreed timescales does not entitle the author to a refund.

If a service cannot proceed, or is delayed, because the required materials have not been supplied, The Coffee Pot Book Club reserves the right to reschedule, modify, or cancel the service without refund.

If The Coffee Pot Book Club is unable to provide a service due to circumstances within our control, a suitable alternative service, credit, or refund may be offered at our discretion.

Liability

The Coffee Pot Book Club shall not be liable for any indirect, consequential, incidental, special, reputational, or financial losses arising from participation in any promotion, review service, blog tour, marketing campaign, or award programme.

The Coffee Pot Book Club makes no guarantee regarding sales, reviews, rankings, visibility, income, readership growth, award outcomes, or commercial success resulting from any service provided.

Our total liability for any claim arising from or relating to a service shall not exceed the amount paid for that specific service.

Nothing in these Terms and Conditions excludes or limits any liability that cannot legally be excluded or limited under French law.

Force Majeure

The Coffee Pot Book Club shall not be liable for any delay, interruption, rescheduling, or failure to perform services resulting from circumstances beyond our reasonable control.

Such circumstances may include, but are not limited to, illness, injury, bereavement, internet or technical failures, platform outages, acts of God, natural disasters, government actions, cyber-attacks, power failures, or other unforeseen events.

Where possible, affected services will be rescheduled or alternative arrangements made, but The Coffee Pot Book Club shall not be liable for losses arising from such circumstances.

Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of France.

Any dispute, claim, or matter arising out of or in connection with these Terms and Conditions, or any service provided by The Coffee Pot Book Club, shall be subject to the exclusive jurisdiction of the French courts.

Acceptance of Terms

By booking a service, submitting an award entry, providing promotional materials, completing a booking form, or making payment to The Coffee Pot Book Club, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.

These Terms and Conditions apply to all services offered by The Coffee Pot Book Club unless otherwise agreed in writing.
